Minneapolis
Payroll & Accounts Payable Specialist

Meagher & Geer Meagher & Geer, P.L.L.P., a leading litigation defense and insurance coverage law firm, is searching for a Payroll & Accounts Payable Specialist to work in our office in downtown Minneapolis.

This individual will be responsible for the payroll and for the accounts payable functions ensuring accurate and timely processing of a semi-monthly payroll and daily accounts payable. Performs audits on payroll and purchasing card transactions and data to ensure completeness, accuracy, and authorization.

Responsibilities:
PAYROLL – Manages and performs all payroll transactions to ensure timely and accurate processing of semi-monthly payroll using ADP Workforce Now. Provides payroll knowledge including state tax laws, excellent customer service and accuracy, and maintains confidentiality.

• Reviews and verifies timecard hours from the time and attendance module into the payroll module (using ADP Workforce Now).
• Administers wage attachments, garnishments, child support orders. Process adjustments.
• Ensures compliance with all federal and state regulations as it applies to payroll.
• Reconciles processed work by verifying entries, and comparing system reports to balances.
• Uses payroll knowledge and judgment to troubleshoot issues and problems.
• Enters new hire onboarding forms. Ensures employee records are accurately processed and maintained for payroll processing and timekeeping system.
• Enters employee benefits choices into various vendor websites.
• Processes annual W-2 production/reconciliation utilizing ADP to ensure timely and accurate mailing and filing.
• Establishes and maintains effective working relationships with all levels of employees.

ACCOUNTS PAYABLE – Maintains the firm’s accounts payable function. Responsible for Accounts Payable processes including vendor maintenance, invoice verification, invoice entry, and payment processing.
• Pays vendors timely; verifies federal ID numbers; schedules and prepares checks; monitors invoice, or payment discrepancies and documentation; ensures credit received for outstanding memos.
• Reconciles processed work by verifying entries and comparing system reports to balances.
• Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
• Verifies vendor accounts by reconciling monthly statements and related transactions. Verifies invoices are approved prior to input into system.
• Maintains vendors and other accounts payable data fields in the Aderant system.

Requirements:
• 5+ year’s payroll experience and 2 + years accounts payable experience.
• CPP (Certified Payroll Professional) certification required.
• ADP experience required, preferably with Workforce Now; familiarity with AP systems.
• Proficiency with Microsoft Office suite (Excel and Outlook).
• Ability to meet deadlines. Above average skills in 10-key and data entry.
• Strong organizational, time management and prioritization skills.
• Ability to maintain confidentiality; ability to establish effective working relationships.
